Job Summary:
The Document Controller is responsible for managing and overseeing all document control activities in accordance with company policies and procedures. This role ensures the proper documentation of project records, manages document distribution, and maintains accurate records. The ideal candidate will have strong organizational skills, attention to detail, and proficiency in document management systems.
Key Responsibilities:
Document Management:
Establish and maintain a document control system for all project-related documents.
Receive, log, and distribute project documents and drawings in a timely manner.
Ensure all documents are properly filed and stored for easy retrieval.
Document Control:
Review documents for accuracy and completeness before processing.
Control the numbering, sorting, filing, storing, and retrieval of both electronic and hard copy documents.
Ensure that document control procedures are followed and that documents are correctly indexed.
Record Keeping:
Maintain up-to-date records of all project documentation.
Track the status of documents through regular updates and reporting.
Archive documents as required by company policy and project requirements.
Communication:
Communicate with project teams and stakeholders regarding document control processes and requirements.
Coordinate with various departments to ensure documents are submitted and received on time.
Address and resolve any issues related to document control.
Compliance:
Ensure that all documentation meets regulatory, legal, and company standards.
Assist with audits and inspections related to document control.
Implement and enforce document control procedures and policies.
Support:
Provide support and training to project team members on document control systems and procedures.
Assist with the preparation of project documentation, reports, and presentations.
Perform additional administrative tasks as required.
Qualifications and Skills:
High school diploma or equivalent; a degree in business administration, information management, or a related field is a plus.
Proven experience as a document controller or in a similar role.
Proficiency in document management software and MS Office applications.
Excellent organizational and multitasking skills.
Strong attention to detail and accuracy.
Good communication and interpersonal skills.
Ability to work independently and as part of a team.
